  • What to Expect

    A file search is used to identify previously recorded cultural resources. Please be aware that a file search will not account for undiscovered cultural resources, or resources that have not been reported to our office.

    File search results will include a letter summarizing the search findings, as well as a spreadsheet listing the details of the resources in your search area. GIS shapefiles may be included depending on the requestor’s qualifications and whether or not the resource boundary is on file.

    Search results will not be filtered or summarized. The requestor is responsible for reviewing, analyzing, and filtering the results per their project needs.

    File search results do not include copies of site forms or survey reports. To make a request for copies of forms or reports, please select the Record Reproductions service option.

  • What to Expect

    For site record requests, you must know the site IDs or site names before proceeding. For document and report requests, you must know the document IDs, titles, or authors before proceeding. If you need to identify records within a project area, or look up the ID/name/author information, please first conduct a file search, or look the records up on Compass.

    GIS data is not included in reproduction requests. All reproduction requests include a review of our backlog. If records are pulled from our backlog, they will be denoted with the file naming convention "_backlog". Note that records pulled from our backlog have limited information available in Compass and elsewhere as they have not be fully encoded into our systems yet.

    Reproductions will include the entire site forms and/or documents - we will not parse out sections of records.

  • Data Access Agreement

  • All individuals requesting access to architectural, archaeological (prehistoric and historic), and/or paleontological resource ("Resource") records housed at the Office of Archaeology and Historic Preservation (OAHP) must agree to the following terms prior to receiving data access. These records include, but are not limited to: site forms, documents, maps, images, spreadsheets, and Geographic Information Systems (GIS) data. This user agreement will outline the nature and extent of the records that will be provided and the terms to which the user agrees to comply. 

    Access to all or part of many Resource records is restricted. The criteria under which individuals may obtain access to Resource information is provided in OAHP's Dissemination of Information: Policy and Procedures. As outlined in that policy, access to restricted Resource information by non-archaeologists is on a case-by-case basis and generally includes only select information.

     

    1. Much of the information held in OAHP's inventory is restricted and may not be released to unauthorized individuals or organizations.  
      • Restricted information includes, but is not limited to, locational information for all archaeological and paleontological sites, as well as locational information on owner-restricted National Register property listings.
      • Unauthorized individuals or organizations includes anyone who may not meet the qualification standards for receiving this data, regardless of landownership status or contracting project proponent. The decision to disseminate information to such individuals or organizations may be made on a case-by-case basis in consultation with OAHP. 
      • Questions regarding the use, distribution, and/or disclosure of OAHP data should be directed to OAHP's Director of Information Management (erin.bornemann@state.co.us), who will consult with the State Archaeologist, if necessary. Individuals who are not granted release of restricted information will be referred to the landholding agency on record.

    2. There are no guarantees as to the data's accuracy or completeness, as the data are dynamic and will be subject to periodic updates.

    3. OAHP data contains information on Resources that are under the jurisdiction, ownership, or control of other entities, such as state and federal agencies, private individuals, and tribal governments. These properties may be afforded additional restrictions or dissemination practices on Resource information. Data received from OAHP are only to be used in compliance with applicable municipal, county, state, tribal or federal laws and regulations.

    4. Data obtained in a digital format are to remain in the sole possession of the requestor. If digital data are requested for use on a shared system, a signed statement detailing access and security on that system will be provided to OAHP prior to release of the data. OAHP’s Director of Information Management (erin.bornemann@state.co.us) will review the statement to determine the nature and extent of information to be provided.

    5. OAHP documentary and photo collections are made available to researchers for personal and scholarly use. Material from these collections may not be published or reproduced without permission, except that photocopies may be obtained under the fair use exception of the U.S. copyright code. In most cases, OAHP does not hold the copyright to images and other documentation. Researchers wishing to publish or publicly display images or other documentation assume responsibility for questions of copyright that may arise.
      • At no time may photographs of human remains from the OAHP files be used in publications or reports of any kind without tribal consultation and written permission from all effected tribal governments.
    6. Access to OAHP data does not constitute permission to enter onto or conduct investigations on any of the land for which Resource records are maintained in the inventory. It is the responsibility of the requestor to obtain permission from the appropriate municipal, county, state, federal, or tribal officials, or private property owners, before instituting any archaeological, paleontological, architectural, or related investigations on, or related to, their lands. Copies of the products of such research should be sent to appropriate officials or landowners, and all permit terms and conditions must be honored. Both the State and the landowner may pursue cases of action against the requestor in the event the information is misused. 

    7. The absence of information concerning Resources in a particular area does not necessarily indicate that none exist. The absence of information concerning Resources in a particular location may be due to a lack of investigations in that area, incomplete information submitted to OAHP, or delays in processing.

    8. Obtaining data from OAHP on previously recorded Resources does not constitute consultation under Section 106 of the National Historic Preservation Act (36 CFR 800), or the Colorado Register of Historic Places (CRS 24-80.1). In the event that there is federal or state agency involvement, please note that it is the responsibility of the agencies to meet the requirements of these regulations.
